The HOA Board of Directors has an obligation to make informed decisions, to engage in due diligence pertaining to issues and to set policy. Since property management’s responsibility is execution, they implement Board policies by establishing processes and procedures for them. This occurs in an environment of teamwork. The other entity that is a part of the team is the Advisory Committee. The Advisory Committee’s role is to provide service and activities for each family in the community. Activities are carried out by subcommittees that recommend action to the Advisory Committee for discussion and action. Advisory Committee policies and procedures govern those actions in addition to those implemented directly by the Board and/or through the property management company.
As your HOA resident member on the three people Board, I promise to be honest, fair, consistent and level headed. You will be able to judge by the end of my term whether or not I’ve kept my promise. Some typical examples in my Board role are as follows: maintain, protect and enhance our property values using our covenant as a guide; enforce our covenant and bylaws fairly and consistently; participate in Board meetings and the annual homeowners meeting; review proposals and contracts for common and overall operations of our HOA; review and vote on the annual budget, review assessments and collections for our HOA, approve Advisory Committee check requests within budget and create goodwill among residents.
Our covenant and bylaws are rules that provide guidance for the business of our HOA and how residents behave as it pertains to their property. There are also rules that govern our amenities (pool area, clubhouse, landscaping, etc.) Each of us shares in the ownership of them. We are responsible for paying our dues to cover the cost of maintaining them. In fact, utilities are approximately 8%, administration 17%, pool 5%, landscaping 53%, services 6%, taxes and insurance 3%, building maintenance 6%, and social and capital 2% of our dues.
As a homeowner you also have typical responsibilities, they are: understand and abide by our covenant and by-laws; pay your assessment on time or submit a hardship request if you have one; stay informed by visiting our webpage, attend meetings, understand your HOA budget, ensure that we have up-to-date accurate contact information for you and make sure, if you have tenants, that they understand our covenant and bylaws.
